How Does the Submittal Process Work in Construction Projects?

The submittal process is a critical step in construction that ensures everything being built or installed meets the project’s design intent, safety standards, and technical specifications. It acts as the communication bridge between contractors, engineers, architects, and project owners.

Step-by-Step Submittal Process

  1. Contractor Prepares the Submittal

The subcontractor or supplier prepares a detailed submittal package, which may include:

  • Product data sheets
  • Shop drawings
  • Material samples
  • Control diagrams
  • Technical certifications

This package shows exactly what the contractor plans to install.

  1. Submission to the General Contractor (GC)

The GC reviews the documents for:

  • Completeness
  • Coordination with other trades
  • Conformance to contract documents

They may request corrections before forwarding it.

  1. Review by Architect/Engineer (A/E)

The architect or engineer evaluates the submittal to ensure:

  • The product meets design requirements
  • Dimensions and materials match the plans
  • System functionality is correct (for electrical/controls)

The A/E will return one of the following:

  • Approved
  • Approved as noted
  • Revise and resubmit
  • Rejected
  1. Approval and Release for Procurement

Once approved, contractors can:

  • Order materials
  • Fabricate components
  • Begin installation using the approved drawings
